Getting Started

Label Sheet has three building blocks — Templates, Lists, and Projects — each accessible from the tab bar at the bottom of the screen.

Recommended first-time flow

  1. Create a template. Tap Templates → + and either start blank, import an Avery-compatible DOCX, or choose a built-in Avery layout (5160, 5163, or 5167).
  2. Create a label list. Tap Lists → + to start typing entries, or import from a CSV, TSV, Excel, Word, or JSON file.
  3. Create a project. Tap Projects → +, pick your template and list, then give the project a name.
  4. Print. Open the project and tap the printer icon to send to any AirPrint printer.

A template is required to create a project. A list is optional — you can print a blank grid without one.

Projects

A project pairs a label list with a template and remembers your print settings. You can have as many projects as you like, and lists and templates are reusable across multiple projects.

Creating a project

  1. Tap + in the Projects tab. A sheet appears to configure the new project.
  2. Choose a template. Required — tap the Template row and select one.
  3. Choose a list. Optional — tap the List row to attach a label list.
  4. Name the project. A name is suggested automatically from the list and template names. Edit it if needed.
  5. Tap Create. The project opens to its detail view.

Printing a project

  1. Open a project from the Projects tab.
  2. Review the live thumbnail preview to confirm the layout looks correct.
  3. Tap the printer icon in the toolbar to open the system print dialog.
  4. Select your AirPrint printer and tap Print.

Label Sheet generates as many pages as needed to print every entry in the list. A template with 30 labels per sheet and a 90-entry list produces 3 pages.

Copies per label and copies per list

Both settings are available in the project detail view.

  • Copies per label — each label entry repeats this many times before advancing to the next. Useful for printing sheets of identical labels.
  • Copies per list — the entire list repeats this many times. Useful for printing multiple full sets.

Changing the list or template

Tap the List or Template row in the project detail view to swap either one at any time. The thumbnail preview updates immediately.

Deleting a project

Swipe left on a project in the list and tap Delete, or use the delete option inside the project. Deleting a project does not delete its list or template — those remain available for other projects.

Label Lists

A label list is an ordered collection of entries. Each entry corresponds to one physical label on a sheet and can contain multiple lines of text.

Creating a list manually

  1. Tap Lists → + and enter a name for the list.
  2. Tap Add Label to create the first entry.
  3. Type your text. Press Return to move to the next label (or auto-create one).
  4. To add a second line within the same label, tap the + inside the expanded label editor.

Importing a list from a file

  1. Tap Lists → Import (the document icon) and choose a file from Files or another source.
  2. Confirm or edit the list name in the prompt that appears.
  3. Tap Create — the list is populated from the file immediately.

Editing labels

  • Tap any label to expand its inline editor and edit its lines.
  • Tap Edit (top right) to enter reorder mode — drag the handle to reorder labels.
  • Swipe left on a label to delete it (confirmation required).

Exporting a list

Open a list, tap the share icon, and choose a destination. Lists export as CSV — each label becomes one row, each line within a label becomes a separate column.

Deleting a list

Swipe left on a list in the Lists tab and tap Delete. Any projects using that list will show it as unassigned — the project itself is not deleted.

Templates

A template defines the physical geometry of a label sheet — page size, the number and position of label cells, and the default text style applied at print time.

Creating a blank template

  1. Tap Templates → + and choose New Template.
  2. The editor opens with a blank US Letter page (8.5 × 11 in). Use the Inspector to set the page size and add shapes.

Importing from a DOCX file

Label Sheet can read the table geometry from a Word document and convert it into a template automatically.

  1. Tap Templates → + and choose Import DOCX.
  2. Pick a .docx file. The app reads the first table and converts each cell into a label shape.
  3. The editor opens with a semi-transparent grid backdrop showing the parsed layout for reference.
  4. If the document contains text in its cells, you are offered the option to create a label list from that text.

Avery 5160 (30 labels/sheet), 5163 (10 labels/sheet), and 5167 (80 labels/sheet) are recognised automatically. When matched, precise corpus dimensions are applied instead of the raw parsed values.

Deleting a template

Swipe left on a template in the Templates tab and tap Delete. Projects that used the template will show it as unassigned.

Template Editor

The editor is where you position, resize, and style label shapes on the page canvas. Changes are saved automatically when you leave the editor or put the app in the background.

Canvas basics

  • Place a shape — select a shape tool from the palette, then tap anywhere on the canvas.
  • Select a shape — switch to the Select tool and tap a shape. A border and handles appear.
  • Move — drag a selected shape to reposition it.
  • Resize — drag the bottom-right handle. The shape scales symmetrically from its centre.
  • Rotate — drag the top-right handle to rotate freely.
  • Delete — tap the red ✕ handle at the top-left of a selected shape.
  • Deselect — tap empty canvas space while the Select tool is active.

Inspector

The Inspector shows controls for the selected shape. On iPad it is always visible as a right-hand panel. On iPhone, tap the slider icon in the toolbar to open it as a sheet.

Shape geometry

  • X / Y — centre position in points from the top-left corner of the page.
  • Width / Height — in points. Circles show radius only. Polygons also show a side-count stepper (3–12).
  • Rotation — in degrees.
  • Corner radius — rounded rectangles only.

Style

  • Alignment — horizontal (left / centre / right / justified) and vertical (top / centre / bottom).
  • Background colour — fills the shape at print time.
  • Background image — choose from the Photos library. Scales to fill the shape. Capped at 500 KB JPEG automatically.
  • Custom text area — when enabled, lets you define a sub-region within the shape where text is placed, independent of the shape boundary.

Per-line text style

Each shape can have multiple preview lines. For each line you can set font, size, bold, italic, line spacing, and text colour. Use the sample text field to preview how content from your list will look.

  • Apply Text to All — copies font, size, bold/italic, alignment, spacing, and per-line styles from the selected shape to every shape on the page.
  • Apply Colours to All — copies background colour, background image, and per-line text colours to every shape.
  • Clear Text Settings — resets the selected shape's style to defaults.

Pattern Tool

The Pattern Tool creates an evenly-spaced grid of copies from a single shape — useful for building a full label sheet quickly.

  1. Select a shape on the canvas.
  2. Tap the grid icon in the toolbar to open the Pattern Tool.
  3. Set the number of rows and columns (1–20 each).
  4. Set the horizontal and vertical gap between shape edges in points. Zero means edge-to-edge.
  5. The preview canvas updates live. Tap Apply Pattern to create the grid.

Applying a pattern creates (rows × columns − 1) new shapes. This action can be undone with the Undo button.

Backdrop image

A backdrop is a reference image displayed behind the canvas while editing. It does not print. Use it to trace over an existing label sheet scan or align shapes to a DOCX import grid.

  • Tap Backdrop → Choose Photo or Choose File (PNG, JPEG, or PDF).
  • If a PDF is chosen, the first page is used and the page dimensions are set to match.
  • Tap Clear Backdrop to remove it.

Undo and redo

Use the undo and redo buttons in the toolbar. The undo stack covers all shape operations — placement, move, resize, rotate, delete, style changes, and pattern fills — within the current editing session. The stack is cleared when you leave the editor.

Font picker

Tap the font name in any per-line style row to open the font picker. Fonts are grouped into three sections:

  • Suggested — a curated set including SF Pro, New York, SF Mono, Helvetica Neue, Georgia, and others.
  • Installed — any fonts you have installed on the device via a third-party font app.
  • System Fonts — all font families available on iOS.

Printing

Label Sheet prints directly to any AirPrint-compatible printer — no export step, no desktop required.

How to print

  1. Open a project from the Projects tab.
  2. Verify the thumbnail preview reflects the correct list and template.
  3. Tap the printer icon in the toolbar.
  4. Select your printer in the system print dialog, adjust copies if needed, and tap Print.

How pages are generated

Label Sheet calculates the number of pages automatically based on your list size, template cell count, and copy settings.

  • A template with 30 labels per sheet and a 90-entry list prints 3 pages.
  • Copies per label repeats each entry N times before moving to the next. A setting of 3 on a 10-entry list fills 30 cells.
  • Copies per list repeats the entire list N times. Combined with copies per label, the total cell count is: entries × copies per label × copies per list.
  • If the final page is not completely filled, the remaining cells print empty.

What prints

  • Label text from your list, rendered with the font, size, colour, and alignment set in the template.
  • Shape background colours and per-shape background images.

The backdrop image shown in the editor is a reference guide only and does not appear in the printed output.

No list assigned

If a project has no list, printing produces blank label cells using the template geometry and styling. This is useful for printing blank sheets as guides or testing a layout before adding content.

Siri Shortcuts

Label Sheet exposes two actions in the Shortcuts app, usable in automations or run directly with Siri.

Create Label List

Creates a new, empty label list with the name you provide.

  • Example phrases: "Create a list in Label Sheet", "New list in Label Sheet"
  • Input: List name (prompted if not supplied)
  • Output: Confirmation dialog

Export Project as PDF

Renders a project to a PDF file and returns it to the Shortcuts workflow — useful for saving, sharing, or attaching to email without touching a printer.

  • Example phrases: "Export [project name] from Label Sheet", "Get PDF for [project] in Label Sheet"
  • Input: Project name (prompted if not supplied)
  • Output: A PDF file usable in subsequent Shortcuts actions

The Export action requires the project to have both a list and a template assigned. Projects missing either will return an error in the shortcut.

Adding actions to a shortcut

  1. Open the Shortcuts app and tap + to create a new shortcut.
  2. Tap Add Action and search for Label Sheet.
  3. Select the action and configure any parameters.
  4. Run the shortcut or add it to a Siri phrase via the shortcut settings.

iCloud Sync

All your projects, lists, templates, and shapes sync automatically across every device signed in to the same Apple ID via CloudKit. No setup is required beyond having iCloud Drive enabled.

What syncs

  • Projects (including copy settings)
  • Label lists and all label entries
  • Templates and all shapes (including background images stored per shape)

Conflict resolution

If the same field is edited on two devices before they sync, the most recent change wins on a per-field basis. Full records are never discarded — only the individual changed fields are compared.

Disabling sync

To keep your data local to one device, disable iCloud for Label Sheet in Settings → [your name] → iCloud → Apps Using iCloud → Label Sheet. Data already on the device is retained; it will no longer sync to or from other devices.

iCloud sync is managed entirely by Apple's CloudKit infrastructure. Label Sheet has no access to your data in iCloud — it passes through your personal Apple ID only.
